FLEXATHON — Terms & Conditions

These Terms & Conditions ("Terms") govern registration for, participation in and use of services associated with FLEXATHON, including the FLEXATHON website at https://flexathonrun.org/.

FLEXATHON is organised by Flexon Sports Foundation ("Organiser", "we", "us" or "our").

By registering for FLEXATHON, purchasing an event registration, accepting these Terms electronically, or participating in the event, you confirm that you have read, understood and agreed to these Terms.

These Terms should be read together with the applicable:

Where you are registering a minor, the parent or legal guardian must complete the applicable consent requirements.

01. Event Information

The current edition is:

Date: Sunday, 27 September 2026
Venue: Engineering Staff College of India (ESCI), Gachibowli, Hyderabad
Race Categories: 3K, 5K and 10K
Organiser: Flexon Sports Foundation

Official reporting times, race start times, route information, bib collection details and other operational instructions will be communicated through official FLEXATHON channels.

Participants are responsible for reviewing such communications before race day.

02. Acceptance of Terms

By completing registration, you confirm that:

  • The information provided by you is accurate and complete;
  • You satisfy the eligibility requirements applicable to your selected race category;
  • You have read and accepted these Terms;
  • You have read and accepted the applicable Participant Waiver and Health Declaration;
  • You understand the physical nature and inherent risks associated with participation; and
  • Where applicable, you have authority to provide registration information on behalf of a minor or another participant.

Registration may be completed directly through FLEXATHON or through an authorised ticketing, registration or payment platform.

03. Registration

Registration is confirmed only after completion of the applicable registration process and successful payment, where payment is required.

Submission of an incomplete form, attempted payment or addition of a registration to a shopping cart does not by itself guarantee participation.

The Organiser may establish limits on participant numbers, race categories or registration periods based on event capacity, safety requirements or operational considerations.

Registrations may close before the advertised closing date if the applicable capacity is reached.

04. Registration Information

Participants must provide accurate information during registration. This may include information reasonably required for event administration, such as: full name, date of birth, contact details, emergency contact details, selected race category, gender (where required for event administration), T-shirt size, blood group or emergency details voluntarily provided, guardian information for minors, and other operational data.

Providing false, misleading or deliberately inaccurate information may result in cancellation of registration or disqualification where the information materially affects eligibility, safety, timing, prizes or event administration.

05. Registration Fees and Payments

The applicable registration fee will be displayed before payment is completed. Fees may differ between race categories, registration periods or authorised registration platforms.

Payments may be processed by third-party payment gateways or ticketing platforms. Such transactions may additionally be subject to the relevant provider's payment terms and privacy practices.

Participants should retain their registration confirmation and payment receipt. In the case of duplicate payments or identifiable payment-processing errors, participants should contact the Organiser or relevant payment provider promptly.

06. Eligibility

Participants must comply with any minimum or maximum age, fitness or category-specific eligibility requirements published for the selected race. The Organiser may request reasonable proof of age or identity where required for safety, category verification, prize eligibility, timing verification, fraud prevention, or legal compliance.

A participant who does not satisfy a mandatory eligibility requirement may be transferred to another suitable category where reasonably possible or may be prevented from participating where necessary for safety or compliance.

07. Participation by Minors

Participants below the applicable age of legal majority must be registered or authorised by a parent or legal guardian in accordance with the registration process. The parent or guardian must provide consent, accept declarations, provide emergency contacts, and acknowledge safety terms.

Schools, institutions and organised groups participating with minors are responsible for complying with the safeguarding, supervision and consent requirements communicated by the Organiser.

08. Health and Fitness

Running and other physical activities involve inherent risks. Each participant is responsible for ensuring that they are physically and medically fit to participate in the selected event.

By starting the race, the participant confirms that, to the best of their knowledge, they are reasonably fit to participate. Nothing provided by FLEXATHON regarding training, hydration, nutrition, fitness or wellbeing constitutes medical advice.

09. Participant Waiver and Assumption of Risk

Participation is subject to the FLEXATHON Participant Waiver and Health Declaration. Participants acknowledge that sporting and running events involve inherent risks (falls, collisions, fatigue, weather conditions, dehydration, etc.).

Participants are expected to exercise reasonable care for their own safety and the safety of others. Nothing in these Terms or any waiver excludes rights or liabilities that cannot lawfully be excluded under applicable law.

10. Safety and Medical Decisions

Participants must follow reasonable instructions issued by race officials, route marshals, medical personnel, security personnel, police or public authorities, and authorised volunteers.

The Organiser or authorised medical personnel may prevent a participant from starting, continuing or completing the event where there are reasonable grounds to believe that continued participation presents a material health or safety risk.

11. Race Rules and Participant Conduct

Participants must behave responsibly and respectfully. Misconduct including providing false data, bib swapping without permitted transfer, route cutting, interfering with timing equipment, abusive behaviour, or property damage will result in disqualification or removal.

Any disciplinary decision affecting a prize or official result may be reviewed by the Organiser based on timing records, route tracking, or witness evidence.

12. Race Bibs and Timing Devices

Race bibs and timing chips are non-transferable without official transfer process. Participants must wear required identification and timing equipment as instructed.

Official timing results require proper placement of timing chips and crossing all designated timing points on the prescribed route.

13. Race Categories and Prizes

FLEXATHON 2026 currently includes:

3K Run Community / Participation Category (No competitive cash prize designated)
5K Competitive Pool (₹20,000)
Men: 1st: ₹5,000 | 2nd: ₹3,000 | 3rd: ₹2,000 Women: 1st: ₹5,000 | 2nd: ₹3,000 | 3rd: ₹2,000
10K Competitive Pool (₹40,000)
Men: 1st: ₹10,000 | 2nd: ₹6,000 | 3rd: ₹4,000 Women: 1st: ₹10,000 | 2nd: ₹6,000 | 3rd: ₹4,000

Total announced competitive cash-prize pool: ₹60,000. Prize eligibility is subject to official race rules and verification.

14. Prize Verification and Disqualification

Before a prize is confirmed, participant identity, registered category, age, timing records, route completion, and rule compliance will be verified.

Applicable statutory taxes or deductions will apply to cash prizes as required under Indian law.

15. Official Results

Provisional results may be published shortly after the event. Results remain subject to verification and correction where needed for timing checks, disputes, or protests.

Verified results published or confirmed by the Organiser constitute the official event results.

16. Event Changes

The Organiser may make reasonable changes to start times, race routes, venues, aid stations, or schedules where necessary for safety, traffic management, weather, or authority directions.

17. Postponement, Cancellation and Force Majeure

The Organiser may postpone, relocate or cancel the event where proceeding would be unsafe, unlawful or impracticable due to force majeure, extreme weather, government orders, or public health emergencies. Refunds or credits will be handled per the Refund and Cancellation Policy.

18. Participant Cancellation, Refunds and Transfers

Participant-initiated cancellation, refund requests, race-category changes, and registration transfers are governed by the published Refund & Cancellation Policy. Registrations must not be informally sold or transferred.

19. Event Merchandise and Participant Entitlements

Participant kit, T-shirt, medal, certificate, and refreshments are subject to the registration category and stock availability. Finisher medals require official completion of the selected category.

20. Event Photography, Video and Media

FLEXATHON events may be photographed, filmed or recorded for event documentation, safety, and promotional coverage. Additional safeguarding rules apply to imagery involving minors.

21. Personal Data and Privacy

Personal data collected will be handled in compliance with applicable data protection laws and the Privacy Policy for registration, timing, safety, certificates, and results administration.

22. Event Communications

Participants agree to receive operational messages (payment receipts, bib collection notices, start times, route updates, certificates) necessary for event administration.

23. Third-Party Platforms

Registrations through third-party platforms remain subject to FLEXATHON race rules as well as the platform's independent payment and service terms.

24. Sponsors, Partners and Vendors

Third parties participating in or supporting the event remain independently responsible for their own products, services, representations and operations.

25. Sustainable Development Goals

FLEXATHON is an independent initiative. References to UN SDGs are for awareness and alignment purposes only and do not indicate official partnership or endorsement with the United Nations.

26. Intellectual Property

All FLEXATHON branding, text, media, graphics and event logos are the property of Flexon Sports Foundation and may not be used commercially without permission.

27. Website Availability

Reasonable efforts are made to keep information updated. Temporary maintenance or connection interruptions may occur. Official race updates will be provided via official channels.

28. Limitation of Liability

To the extent permitted by law, the Organiser is not liable for indirect or consequential losses not caused by breach of a legal duty owed. Mandatory consumer rights remain unaffected.

29. Participant Responsibility

Participants are responsible for following instructions, arriving on time, wearing appropriate running attire, securing belongings, and providing accurate emergency data.

30. Removal from the Event

The Organiser may refuse entry or remove participants for safety concerns, fraudulent registration, rule violations, or abusive behaviour.

31. Complaints and Grievances

Participants with grievances regarding registrations, payments, timings, or policies may contact: info@flexathonrun.org / mail@flexathonrun.org.

32. Governing Law

These Terms are governed by the applicable laws of India, subject to the jurisdiction of competent courts or consumer commissions.

33. Severability

If any provision is found invalid or unenforceable, it will be severed and remaining provisions will remain in full force and effect.

34. No Waiver of Statutory Rights

Nothing in these Terms restricts any statutory or consumer rights that cannot legally be excluded.

35. Changes to These Terms

These Terms may be updated to reflect operational, safety, or legal changes. The latest version and effective date will be published on this page.

36. Entire Agreement & Contact

These Terms, together with the policies and declarations incorporated herein, constitute the entire agreement governing FLEXATHON participation.
