Refund & Cancellation Policy

01. Participant-Initiated Cancellation

We understand that circumstances may change after registration. Participants who are unable to attend FLEXATHON 2026 may request cancellation according to the following schedule:

• On or before 27 August 2026: 100% of the FLEXATHON base registration fee will be eligible for refund. Third-party non-refundable processing charges may be excluded.
• From 28 August 2026 to 11 September 2026: 50% of the FLEXATHON base registration fee will be eligible for refund.
• From 12 September 2026 onwards: Registrations will generally be non-refundable, as participant kits, bibs, timing arrangements, venue requirements, event logistics and other operational commitments will have been finalised.

This does not affect any refund or remedy that must be provided under applicable law.

02. How to Request a Cancellation

Cancellation requests must be submitted to: mail@flexathonrun.org / info@flexathonrun.org.

The request should include:

• Participant's full name;
• Registered email address;
• Registered mobile number;
• Registration/order ID;
• Race category;
• Payment reference, where available; and
• Reason for cancellation.

The date on which a complete cancellation request is received will ordinarily determine the applicable refund category.

03. Refund Processing

Once a refund request has been reviewed and approved, FLEXATHON will initiate the applicable refund through the original payment method or registration platform.

FLEXATHON aims to initiate approved refunds within 7 business days. Time required for reflection depends on your issuing bank or UPI network.

04. Convenience Fees and Platform Charges

Where payment gateway, convenience or ticketing platform fees are charged and retained independently by third-party processors and cannot be recovered, they may not form part of the refund.

05. Duplicate Payments

If a participant is charged more than once for the same registration due to a technical error, the verified duplicate amount will be eligible for a 100% refund upon notifying us at mail@flexathonrun.org.

06. Failed Transactions

Where an amount is debited but no valid registration is generated, the transaction is reconciled with the gateway and reversed/refunded automatically.

07. Race Category Changes

Requests to switch between 3K, 5K, and 10K are subject to slot availability, eligibility criteria, and operational deadlines. Upgrades require payment of the fee difference; downgrades are subject to standard refund timelines.

08. Transfer of Registration to Another Participant

Private transfer or sale of bibs is strictly prohibited. Official participant substitution must be approved by the Organiser prior to the cut-off deadline with full waiver acceptance by the replacement participant.

09. Participant Unable to Attend

Failure to attend, personal schedule conflicts, late arrival, or uncollected kits do not automatically create refund eligibility past the stated deadlines.

10. Medical Circumstances

Participants medically unable to participate past the deadline may contact the Organiser with relevant details for individual consideration (e.g. transfer to a future edition).

11. Cancellation by FLEXATHON

If FLEXATHON 2026 is cancelled by the Organiser for reasons within its reasonable control and not rescheduled, registered participants will be eligible for a full refund of the base registration fee.

12. Event Postponement

If the event is postponed, registrations automatically roll over to the rescheduled date. Participants unable to make the rescheduled date will receive a designated window to request refunds or transfers.

13. Change of Venue

Operational or safety-mandated venue adjustments within Hyderabad/surrounding regions do not constitute event cancellation.

14. Change of Route or Race Arrangements

Modifications to route layouts, hydration points, wave start timings or marshaling required by traffic police or safety directives do not constitute cancellation.

15. Force Majeure

If extreme weather, civil emergencies, government orders or disasters impact the event, the Organiser will prioritize rescheduling or appropriate remedies in accordance with applicable laws.

16. Event Stopped After Commencement

If safety or emergency authorities order an ongoing race to be shortened or halted, remedies will be determined based on services delivered, safety considerations, and legal guidelines.

17. Disqualification

Disqualification resulting from rule violations, cheating, course cutting, or abusive conduct does not entitle the participant to a refund.

18. Merchandise, T-Shirts and Participant Kits

Once personalised kit components have been manufactured or distributed, kit fees cannot be refunded independently.

19. Finisher Medals and Certificates

Medals and official finisher certificates are reserved strictly for registered runners who complete their respective distance within the designated race cutoff.

20. Prizes

Registration cancellation, transfer, or non-participation extinguishes any eligibility for competitive prizes in that category.

21. Third-Party Registration Platforms

Where purchased via third-party ticketing platforms, refund logistics may follow the partner platform's gateway processes.

22. Promotional or Discounted Registrations

Refunds are calculated on the net discounted amount actually paid by the runner, not the original undiscounted price.

23. Group & Corporate Registrations

Group and institutional bookings follow custom agreements where executed; otherwise, the standard policy schedule applies.

24. Refund Abuse and Fraud

We reserve the right to verify transaction legitimacy in the event of suspicious chargebacks or duplicate claims.

25. Chargebacks and Disputes

Please contact us directly before raising banking chargebacks so we can resolve transaction discrepancies smoothly.

26. Consumer Rights

Nothing in this policy restricts or limits statutory consumer rights under applicable Indian legislation.

27. Changes to This Policy

This policy may be amended for operational, legal, or regulatory compliance. Revisions do not apply retrospectively.
